Doc statuses: draft, pending, private and scheduled
Every doc has a status that controls who can see it. PinkDocs uses the standard WordPress statuses, so they work the same way as posts and pages.
The five statuses
| Status | Who can see it | Use it when |
|---|---|---|
| Draft | Logged-in users who can edit docs | You're still writing the doc. |
| Pending review | Logged-in users who can edit docs | A writer has finished and an editor needs to check it. |
| Private | Logged-in administrators and editors only | The doc is for your team, not for readers. |
| Scheduled | Editors until the publish date, then everyone | The doc should go live at a set time, such as a product launch. |
| Published | Everyone who can access the knowledge base | The doc is ready for readers. |

A simple review workflow
If several people write your docs, use statuses as a lightweight approval process:
Write
The writer saves the doc as a Draft while working on it.
Submit for review
When finished, the writer changes it to Pending review.
Review and publish
An editor filters the Docs list by Pending, reviews each doc and publishes it.
Common questions
Private docs are only visible to administrators and editors. To share docs with a wider group, such as logged-in customers or a specific user role, use access control instead.
Open the doc, change its status to Draft and click Update. It disappears from your help centre straight away, and you can republish it later.
